1. Introduction

Welcome to Vive La Salsa Tours. By accessing our website and booking a tour, you agree to comply with the following Terms and Conditions. Please read them carefully before making any reservations.

2. Booking & Payment

  • A $300 non-refundable deposit is required to secure your spot on any tour.

  • The remaining balance must be paid in instalments:

    • 50% of the remaining payment is due 60 days before departure.

    • The final 50% is due 30 days before departure.

  • Bookings made within 60 days of departure require full payment at the time of booking.

  • Coupon codes, if applicable, will be applied to the final payment and must be entered at the time of booking.

  • Payments can be made via our approved payment methods listed on the website.

  • Prices are subject to change based on availability and external factors.

  • Failure to make payments on time will result in forfeiture of your booking without a refund or transfer.

  • If, for any reason, the outstanding balance is not received by the due date, we reserve the right to treat the booking as cancelled by you. Payments will not be refunded or transferred to another tour, regardless of circumstances.

Pricing & Payment Responsibilities

  • The price quoted for any trip covers the cost of planning, organization, and execution of the trip, including group equipment, supplies, accommodations, administration, and staff. However, the following costs are not included and are the responsibility of the participant:

    • Vaccination fees

    • Travel insurance

    • Cost of travel to and from the trip start/return point, including international flights

    • Cost of passports and visas

    • Personal equipment and personal expenses during the trip

    • Any other expenses specifically excluded on the trip description and/or invoice.

  • We reserve the right to make changes to and correct errors in quoted prices at any time before your trip is confirmed.

  • Once the price of your chosen trip has been confirmed at the time of booking, price adjustments will only occur in the event of:

    • A change in transportation costs

    • Dues, taxes, or fees imposed by external authorities

    • Currency exchange rate fluctuations affecting the cost of the trip.

  • If an increase in costs exceeds 2% of the total trip price, the participant will be notified and given the option to cancel the booking with a refund or continue with the adjusted price.

Early Bird Pricing

  • We reserve the right to offer Early Bird pricing at our discretion.

  • Early Bird pricing may be available for certain trips. If available, it will be indicated on the trip booking page.

  • Early Bird pricing is available to the first 5 guests who book a spot on a given trip.

  • Once the minimum number of guests has been booked, the trip will be confirmed to depart on the specified departure date.

  • If the minimum number is not reached, we reserve the right to cancel the trip. In such a case, you will be notified and have the ability to transfer your deposit to another trip or receive a refund. 

Booking on behalf of others

  • If someone books on behalf of others, they are responsible for all payments, notifying the group of any changes, and ensuring all members are informed about the tour details and Terms & Conditions.

3. Cancellation & Refund Policy

  • All payments are non-refundable and non-transferable, unless the tour is canceled by Vive La Salsa Tours.

  • Depending on the circumstances of the cancellation and how close it is to the tour date, Vive La Salsa Tours may, at its sole discretion, allow payments to be transferred to a future tour. This decision will be made on a case-by-case basis, and we offer no guarantees or promises of payment transfers.

  • If a tour is canceled by Vive La Salsa Tours due to unforeseen circumstances, participants will be offered a full refund or the option to transfer their payment to a future tour.

  • Depending on the reason for cancellation, you may be able to reclaim these charges under the terms of your insurance policy. Claims must be made directly to the insurance company concerned.

4. Travel Requirements & Responsibilities

  • Participants are responsible for ensuring they meet passport, visa, and vaccination requirements for travel.

  • Vive La Salsa Tours is not responsible for denied entry due to documentation issues.

  • Travel insurance is highly recommended to cover medical emergencies, trip cancellations, and unexpected events.

  • Participants must be in good health and able to engage in moderate physical activity, including walking and dancing. If you have any medical conditions or disabilities, please inform us in advance so we can assess accommodation options.

  • We require participants to be over the age of 18 before departing onto the trip. 

5. Code of Conduct

  • Participants must behave respectfully towards fellow travellers, tour guides, and local communities.

  • Any disruptive, harmful, or illegal behaviour may result in removal from the tour without a refund.

  • Responsible alcohol consumption is expected. Excessive intoxication, unsafe behaviour, or failure to adhere to safety guidelines may result in expulsion from activities or the entire tour.

6. Media Release & Intellectual Property

  • By joining our tours, you grant Vive La Salsa Tours permission to capture photos and videos that may be used for promotional purposes, including our website, marketing materials, and social media. If you do not wish to be included, please inform us in writing before the start of the tour.

  • All content on this website, including text, images, and videos, is the property of Vive La Salsa Tours and may not be copied, reproduced, or distributed without prior written permission.

7. Liability & Assumption of Risk

  • Vive La Salsa Tours acts only in the capacity of an agent in arranging transportation, accommodations, additional side tours, and attractions, including meals, and is not responsible for any loss, damage, or injury due to an act or default of any company engaged in providing service included in our tours.

  • Participants acknowledge that activities such as dance workshops, nightlife experiences, and nature excursions involve inherent risks.

  • Participants are responsible for their own personal belongings. Vive La Salsa Tours is not liable for lost, stolen, or damaged items during the tour.

8. Conditions of Suppliers

  • “Third Party Suppliers,” including transport operators, accommodation providers, activity providers, tour and local guides, and other independent parties, provide their services in accordance with their own terms and conditions. These terms may limit or exclude their liability to you in the event of death, personal injury, delay, or loss/damage of personal possessions.

  • Although we take all reasonable care in selecting Third Party Suppliers, we are unable to control or supervise them. Therefore, we are not liable for the acts or omissions, whether negligent or otherwise, of Third Party Suppliers or any independent contractors.

  • You acknowledge that Third Party Suppliers operate in compliance with the applicable laws of the countries in which they operate, and we do not warrant that any Third Party Supplier complies with the laws of your country of residence or any other jurisdiction.

  • We are not liable and will not assume responsibility for any claims, losses, damages, costs, or expenses arising out of inconvenience, loss of enjoyment, upset, disappointment, distress, or frustration, whether physical or mental, resulting from the act or omission of any party other than Vive La Salsa Tours and its employees.

8. Changes to Itinerary

  • Vive La Salsa Tours reserves the right to modify itineraries due to unforeseen circumstances, weather conditions, or local events.

  • Any changes will be communicated promptly, and we will strive to provide alternative arrangements where possible.

  • We strive to provide the best experience for all our travellers. If you have any concerns or complaints during the tour, please bring them to the attention of your tour guide or trip coordinator as soon as possible so we can address the issue promptly.

  • If your concern is not resolved during the trip, you may submit a formal complaint in writing to Vive La Salsa Tours within 30 days of tour completion.

  • Complaints will be reviewed, and we will aim to respond within 14 business days.

  • Any disputes related to the tour experience must first be addressed in writing to Vive La Salsa Tours within 30 days of tour completion.

  • If the dispute cannot be resolved amicably, it will be handled through mediation or arbitration in the jurisdiction where Vive La Salsa Tours is registered.

11. Delays

  • We regret we are not in a position to offer you any assistance in the event of delay at your outward or homeward point of departure.

  • Depending on the circumstances, the airline may be required to pay you compensation and/or refund the cost of your flight and/or provide you with accommodation and/or refreshments in the event of a significant delay or cancellation.

  • However, we have no liability to make any such payments to you, and you must pursue the airline or other transport operator concerned for any payment which may be due.

  • Please remember that it is your responsibility to ensure you arrive at the departure location for your chosen tour. All costs associated with this are, therefore, your sole responsibility.

  • This applies even if we assist you in making any necessary additional arrangements where, for example, your flights were delayed and you missed your pre-booked transfer with us.

  • We strive to provide the best experience for all our travellers. If you have any concerns or complaints during the tour, please bring them to the attention of your tour guide or trip coordinator as soon as possible so we can address the issue promptly.

  • If your concern is not resolved during the trip, you may submit a formal complaint in writing to Vive La Salsa Tours within 30 days of tour completion.

  • Complaints will be reviewed, and we will aim to respond within 14 business days.

12. Our Website

  • The information contained in our website (www.vivelasalsatours.com) and in our other advertising material is believed correct to the best of our knowledge at the time of publication. However, errors may occasionally occur and information may subsequently change. You must therefore ensure you check all details of your chosen trip (including the price) with us at the time of booking.

13. Optional Extras

  • “Optional Extras” refers to any activity, transportation, meal, product, or service not expressly included in the Tour itinerary or price of the Tour and which does not form part of the Tour.

  • Rooms are based on double or triple occupancy, depending on the trip, and we strive to ensure each guest enjoys a comfortable experience. Special requests for room upgrades, such as double or single occupancy, may incur additional costs and are subject to hotel availability. While we will do our best to accommodate these requests, availability cannot be guaranteed.

  • Any assistance given by the Tour Operator’s representative(s) in arranging, selecting, or booking any Optional Extras is purely at your request, and the Tour Operator makes no warranties and expressly disclaims any liability whatsoever arising from participation in Optional Extras or any information provided by any representative of the Tour Operator regarding any Optional Extras.

  • You release the Tour Operator from all claims and causes of action arising from any damages, loss of enjoyment, inconvenience, or injuries related to or arising from participation in or booking of Optional Extras.

  • You acknowledge and agree that any liability for loss, damages, death, personal injury, illness, emotional distress, mental suffering, psychological injury, or loss of or damage to property associated with Optional Extras is the sole responsibility of the third party providing that service or activity.

  • We strive to provide the best experience for all our travellers. If you have any concerns or complaints during the tour, please bring them to the attention of your tour guide or trip coordinator as soon as possible so we can address the issue promptly.
